Accessing a Zoom Virtual Classroom


Zoom Virtual Classrooms allow students who are not able to be physically present in class to attend the session online.   There are three ways of accessing your zoom virtual classroom, with both common steps and differences for each. Accessing the zoom virtual classroom varies dependent on how your educator has set up your classroom. 

The below guide contains step by step instructions for each pathway to access your zoom virtual classroom.  The below topics are covered in this guide, use the below links to navigate instruction on how to access Zoom.

By 30th May all Zoom users (across the world!) need to update to Version 5. Follow the update prompts in the app, click check for updates in your profile, or go to the Zoom downloads centre.   Then, access the Zoom Test site to make sure you're ready to go.  Contact the ITS Service Desk if you encounter any update issues.

Open a Zoom Classroom via Communication Tab


Step One: Locate and open the Zoom Classroom


1. In your VU Collaborate unit space click on Communication from the Navbar, then select Zoom Classroom

Make sure that you are using Chrome for your internet browser.

Step Two: Join the relevant session


1. Scheduled Zoom classrooms will appear in the events list. To launch your virtual classroom, click on the Join button.

Join will highlight blue when the cursor is placed over the button.

Step Three: Opening Zoom Meetings & Downloading the Application 


 1. Once Join is pressed, a new internet tab will open asking you to Open Zoom. If this is your first time opening the application, press the Blue Cancel button. If you have done this before, click Open Zoom.

2. Once cancelled, move your mouse over to the link on the bottom right which says, “download & run Zoom” and left-click it.

3. When the link is pressed "download & run Zoom". Your computer will either ask you to save the installer or it will download the installer automatically.

If your computer asks you to save the installer, make sure to save it onto your desktop, or somewhere else that is easy to find, then click save.

4. Once the installer is downloaded, please click the installer application as seen below, to install Zoom onto your computer device.

If the installer application is not shown exactly as above, it’s okay. This means it has been saved to your desktop screen as you selected to save it there in step 3, or any other chosen place you saved the installer. If you saved the installer on your desktop screen, just go there and double click the installer application.

If you are not sure where you saved it and you can’t find the installer application, just type Zoom on your computers search bar and it should show you the installer application.

5. Once the installer has been clicked, the installer application will start to install as seen below.

6. Once the installer has installed Zoom onto your computer, your classroom meeting will open automatically if there is a current session at the time of installation, as shown below.

If you decided to download & install Zoom while no sessions are occurring, your session will not open as shown below.

7. Once your session is complete or you are done with installing Zoom, the app should now be saved onto your computer of use. You will find the application on your desktop screen or by searching your computer with its search bar.

If no shortcut has been produced, don’t worry. You can create one by going into your search bar, searching Zoom, and right-clicking the app to pin it anywhere you want!

Once pinned, Zoom is now installed! Well Done!

9. If you have already installed the app and you decide to enter your zoom session via your unit space on VU Collaborate, the below dialogue box will appear, press the Open Zoom Meetings button.

Step Four: Testing the Audio - Speaker & Microphone


1. Press Test speaker and microphone.  

 Make sure the sound and microphone are active on your PC or laptop.

2 Listen to the ringtone. When you hear the ringtone, press Yes.

3. You will then be prompted to speak and pause, if you hear the replay then confirm by pressing Yes.

Step Five: Join Zoom Classroom


1. You are now ready to join the Zoom Classroom, you will be prompted twice to press Join with Computer Audio.

Step Six: You are now active in your Zoom Virtual Classroom


 You can now commence engaging in your  Zoom Virtual Classroom.

 

Open a Zoom Classroom via Email Link


Step One: Locate and open the Zoom Classroom


1. Find the link sent to you via email to your Victoria University student email address by your Educator.  

2. Click on the link under the heading Join Zoom Meeting.

Step two: Accessing the Virtual classroom session


1.  The below dialogue box will appear after completing the previous steps.  Click Open Zoom Meeting.

Step Three: Testing the Audio - Speaker & Microphone


1.  The below dialogue box will appear, before joining the zoom meeting you need to test your audio settings

2. Click the Test speak and microphone button

1. You will then be taken to the below dialogue box.

Make sure that the microphone and speaker are active on your PC or laptop prior to commencing the test.

2. Once you hear the tone, Click Yes.

3. You will now be prompted to test the microphone.  Speak into the microphone on your PC or Laptop and follow the instruction on your screen.  

4. Once you hear the replay, click Yes.

Step Four: Entering the Virtual Classroom


1. Once you have completed the audio check, the below dialogue boxes will appear.

2. When you are ready to join the virtual classroom, click Join with Computer Audio.

Both dialogue boxes as below will appear and you will need to click Join with Computer Audio in both to enter the Virtual Classroom.

Step Five: You are now active in Zoom Classroom


 

1. You are now active within the Zoom Classroom.

Open a Zoom Classroom via Calender 


Step One: Locate and open the Zoom Classroom


1. Log into VU Collaborate

2. On the home screen on the right-hand side is where you will locate the calendar.

3. At the bottom of the calendar, you will locate a drop-down box. Open the drop-down and select the event you wish to view i.e. Zoom Virtual Classroom.

4. Double click on the event in the calendar.

Step Two: Accessing the link 


1. The below dialogue box will appear to enter the Virtual classroom, click on Click here to join Zoom Meeting: XXXXXXXX

Step Three: Accessing the Virtual Classroom


1. Once you have click on the above link, you will be prompted to enter the virtual classroom

2. To enter click the Open Zoom Meeting button.

Step Four: Testing the Audio - Speaker & Microphone


1.  The below dialogue box will appear, before joining the zoom meeting you need to test your audio settings

2. When you are ready to join the virtual classroom, click Join with Computer Audio.
